 To All Bard Students:

 I hope everyone had a restful Spring Break, and is ready to begin thinking about where they would like to live next year!  That’s right, Room Draw will be here before you know it.  All students should carefully look over the information below as well as review the timeline located on the reverse side of this letter, which includes important deadlines for this event. Please note, participation in Room Draw is a good faith effort.  Students selecting a room through the Room Draw process are doing so with the understanding that they are obligating themselves to living on-campus for the entire academic year!

 Here are some important reminders about the Room Draw process:

All students intending to live on-campus for the 2008-09 academic year MUST participate in the Room Draw process. If you intend to live off-campus next year, please see the instructions included below.  

Financial Clearance Cards

Validated Financial Clearance Cards are required to participate in Room Draw.  FinancialClearance Cards will be available at the Office of Student Accounts beginning Friday April 25th and continuing through Friday, May 2nd.  

 If your Financial Clearance Card indicates what you believe to be an incorrect class level, you must correctthis with the Registrar by Friday, May 2nd.  No changes to your class standing will be made at Room Draw. In order for a change to be processed, the Registrar must notify the Office of Residence Life, in writing, of your correct status.It is imperative that you act quickly to correct your class standing, as there is a small window of opportunity to do so.

Intent to Live Off-Campus

Students intending to live off campus must indicate this by signing the declaration on the front of their Financial Clearance Card and returning it to the Student Accounts office.  Unmoderated students planning on living offcampus for the ’08-’09 academic year must also have a completed and approved Off-Campus Living Request for Unmoderated Student Form on file. These forms are available at the Office of Residence Life.  

Squatting

Squatting is restricted to students who presently reside in a room designated for single occupancy.  No room in the Village Dorms or Gahagen will be available for squatting. Those students eligible to squat their rooms may do so at the Office of Residence Life on the following dates:

        Wednesday, April 30th (9:00am-5:00pm)

Thursday, May 1st (9:00am-5:00pm)

Friday, May 2nd (9:00am-3:00pm)

 

You will need to bring a valid Financial Clearance Card and your Bard ID with you in order to process your squatting request. Squatting is not permissible at Room Draw itself!  If you wish to squat a room, you must do so before hand.

Proxies

The Office of Residence Life will act as a proxy for any student who is unable to attend Room Draw.  If you cannot attend Room Draw, notify the Office of Residence Life of your housing preferences and submit your Financial Clearance Card to the Office of Residence Life prior to May 2nd. 

Multiple Room Occupants

Students wishing to obtain multiple student housing units(doubles, triples, and suites) at room draw must have all prospective occupants present and all must be financially cleared at the time that your housing request is made at Room Draw. If you are planning on living in a village suite, single rooms are available to current Juniors and current Seniors only, while the doubles are available only to current Freshmen. We strongly recommend that you confirm your eligibility to draw for a suite before the Room Draw event. Students without the proper class level will be barred from suite placement and no suite will be assigned without all members present or accounted for.

Student Obligation

If you select a room at Room Draw and later decide to make off-campus living arrangements,you must notify Student Accounts Office and the Office of Residence Life of your change in plans by Friday, May 30th.  Failing to notify both offices will result in a $500.00 fine being charged to your student account.

You can also check the Residence Life website,or stop by your AC’s office in Annandale House to say hello and discuss any questions you have.

Room Draw Time Line


Monday, April 21st

*  Last day for students requesting “special circumstances” due to medical, physical, and/or psychological issues to notify the Office of Residence Life of their desire to be considered for special housing.

Friday, April 25th

*  Off-Campus Living Request for Unmoderated Students Form must be submitted by 5:00pm.

*  All student accounts must be paid in full with no outstanding balances.

*  $500.00 enrollment deposit due.

Friday, April 25th–Friday, May 2nd

* Financial Clearance Cards will be available at the Office of Student Accounts beginning Friday April 25th and continuing through Friday, May 2nd.  All students attending Bard for the 2008-09 academic year, including both on-campus and off-campus students, are required to check in. Keep in mind that you will NOT be able to attend Room Draw or squat your room without a previously validated Financial Clearance Card.

*  Students living off-campus, or students who intend to live off-campus for the ’08 - ’09 academic year, must complete the Declaration of Intent for Off-Campus Housing, which is located on the Financial Clearance Card.

*  Those students wishing to participate in Room Draw must keep their Financial Clearance Cards to be admitted into Room Draw.  Presentation of a valid Bard IDwill be required as well.

Wednesday, April 30th

*Students who presently reside in a room designated for single occupancy may request to squat their room at the Office of Residence Life.  No room in theVillage Dorms or Gahagen willbe available for squatting. 

Thursday, May 1st

*Students who presently reside in a room designated for single occupancy mayrequest to squat their room at the Office of Residence Life.  No room in the Village Dorms or Gahagen will be available for squatting. 

*Leave of Absence Forms due in the Dean of Students Office for any studentswho will not be taking classes at Bard for the Fall 2008 semester. 

Friday, May 2nd

*  Students who have successfully submitted an Off-Campus Living Request for UnmoderatedStudents Form will be notified of the College’s decision.

*  Last day for Registrar to change a student’sclass standing.

*  Students who presently reside in a room designated for single occupancy may request to squat their room at the Officeof Residence Life until 3:00 PM.  After3:00 PM, students will no longer be allowed to squat rooms.

*Lastday for students to request the Office of Residence Life to act as their proxyduring the Room Draw process.

Monday, May 5th 

Room Draw:  Night One (in Stevenson Gymnasium) (Class levels below refer to your current class level)

7:30pm-8:45pm– Suites (Singles: Seniors and Juniors only; Doubles: Freshmen only)

9:00pm-9:45pm – Seniors (92+ credits)

10:00pm-11:00 pm – Juniors (60-91 credits)

Tuesday, May 6th

Room Draw:  Night Two (in Stevenson Gymnasium) (Classlevels below refer to your current class level)

6:00pm-8:00 pm – Sophomores (28-59 credits)

8:30pm-11:00 pm – Freshmen (0-27 credits)

Friday, May 30thby 5:00pm

*  Last day to submit Financial Clearance Card to Student Accounts with intent to live off-campus.  After this date a fine of $500.00 will be applied to your account
